1-3 Months before the party

  1. Discuss the Party with Your Child

Involve your child in the fun process of choosing a party theme. Do they dream of a princess celebration, or perhaps a thrilling superhero adventure? Narrowing down the theme early on helps with decorations, activities, and choosing entertainment. Princess Maggie’s Experiences offers themes like princesses, superheroes, unicorns, pirates, and more!

2. Choose a Date

Coordinate with important guests and finalize the date. Be sure your top party guests are available – you don’t want your little one’s best friend missing out! Princess Maggie's Experiences can also suggest ideal venues, such as our very own Fairytale Cottage in Midrand, perfect for royal affairs.

2. Decide on Guests

How many friends would your child like to invite? Will it be a small intimate gathering or a large bash? Depending on the theme and space, decide if it’s best to host a few close friends or the whole class. P.S. – Let Princess Maggie's Experiences handle entertainment for both the kids and adults if you want to make it extra special!

3. Line Up Entertainment

Book your entertainment early to avoid disappointment! Whether it’s magical princesses, thrilling superhero characters, or fun-filled dance parties, we offer a wide variety of interactive entertainment. Our performers, face painters, and dance instructors will make your event unforgettable.


4 Weeks before the party

  1. Send Invitations

Send out fun invitations that fit the theme. Whether digital or printed, include key information such as the RSVP date and any special instructions (i.e., dress-up required). If you'd like us to create custom invites to match the theme, we can help!

2. Plan a Schedule of Activities

Plan activities that keep kids entertained while allowing time for eating and mingling. Consider a mix of high-energy games like musical chairs, plus quieter activities like crafts or storytelling. We offer ready-made activity packages and a flexible timeline to ensure everyone has fun.

3. Create a Master Supply List

Make a checklist of everything you need for the party: games, food, décor, and of course, costumes! Princess Maggie’s Experiences offers full-service planning, including décor and supply packages, so you can focus on enjoying the event while we handle the details.


3 Weeks before the party

1. Plan the Menu

Keep the food simple but themed! Think fun finger foods like pizza, mini sandwiches, and cupcakes that match the party’s theme. Princess Maggie’s Experiences also suggests themed food and snacks like Unicorn Milkshakes, Superhero Snacks, and more. At our cottage, we offer stunning grazing tables for parents and kids to enjoy while at the party. We can even help you with cake ideas or provide a professional baker!

2. Ask for Help

Throwing a party doesn’t have to be a one-person job. Ask friends or family for help with setup or managing games during the event. If you prefer a more hands-off approach, hire extra help or let us do the work! Our entertainers are experts at running smooth events.


1 Week before the party

1. Clean and Prep the Venue

If hosting at home, do a quick cleanup. For outdoor venues, ensure the space is safe and ready. If you host at Princess Maggie’s Fairytale Cottage, you don’t even have to worry about this, the venue will be set up by the time you arrive!

2. Finalize the Guest List

Confirm your RSVPs so you know exactly how many guests to expect. This will help you with food and seating arrangements.

3. Order the Cake

This should happen earlier, if you have a very popular baker. Ensure the cake is ordered, and don’t forget to involve your child in the decision-making! Whether you go with a simple design or something more elaborate, we can recommend bakeries or even offer a custom cake option that fits the theme.


1 Day before the party

1. Decorate the Venue

Now’s the time to turn your venue into a magical setting! Whether you're adding balloons, streamers, or backdrops, when hosting at Princess Maggie’s Fairytale Cottage, we can help create the perfect atmosphere that brings your theme to life. If you are decorating outdoors, get all the decor ready to set up and keep it indoors overnight, ready to grab and set up the next morning.

2. Finalize Food Prep

Finish any cooking or food prep. If you’re making a homemade cake, consider icing it the day before to save time. Make sure to get all the glasses, cups, cutlery and crockery ready so you don’t have to stress about it on the day of the party.


The Day of the party

1. Set Up for Fun

Set up your party stations for games, crafts, and snacks. Keep things organized so you can focus on the fun! If you’re booking entertainment with Princess Maggie’s Experiences, our performers and event staff will arrive early to handle setup.

2. Begin Activities

Kick off the party with the first activity about 30 minutes in to ensure all the kids arrive and don’t miss out! Whether it's a character appearance or a fun game, our team will keep kids entertained, so you can relax and enjoy.

3. Serve Cake and Open Gifts (Optional)

Gather everyone to sing Happy Birthday and serve the cake. If it fits into your schedule, let your little one open their presents at the end of the party. Make sure to note what your little one got and from who, if there is time in our schedule we will do it for you.

  1. Hand Out Party Favors

As the party winds down, hand out the goodie bags filled with themed treats. Your child can thank their friends with a smile as they leave with a special gift!


2-3 Days after the party

Send Thank You Notes

Thank everyone for coming and for any gifts your child received. Sending thank-you notes will make the experience even more special for everyone involved.
